Procedure: Choose Template/Task List → Create Template ...; define a

ten-character technical key for your template; select one of the organizational

hierarchies from the Closing Hierarchy field; enter a description for the new

template.

Thetime-dependentselectionvariablesthatarerelevantforthetemplatearenow

displayed in the template header.

Thesystemgeneratesaproposal for atasklisttemplateinaccordancewith the

selectedhierarchiesandusingallorganizationalobjectsavailableinthesystem

(controlling areas with assigned company codes, including any subfolders

defined).

Task foldersareused to arrange organizational levels into substructures in the

tasklist template. Defaultvaluesfortaskfolderscanbestoredassubfoldersin

thegenericmaintenanceoftheorganizationallevels.

Users in the Closing Cockpit (CLOCO) application can access the required

transactionorbackgroundprocessingforprogramsandflowdefinitionsdirectly

from the central interface.

Fours types of task are available:

1. Programs: with program variant (background processing) Standard

programsaregenerallyavailableforprocessingactivitiesinthebackground.

Iftheseprogramsareincludedinthetasklisttemplatewithcorresponding

parameters(thatis,withavariant),youcanlaterstartbackgroundprocessing

directly from the Closing Cockpit. Without program variant The report

canbestartedandprocessedonlineinthetasklistoftheClosingCockpit

application.

2. Onlinetransactions: You can startthesetransactionsmanuallyfrom the

tasklistandgodirectlyfromtheClosingCockpittotherelevantapplication

transaction.

3. Note: Usedonlyasareminder or milestone.

4. Flow definition: Flow definitions are used for multiple programs with

variantsthataretobeprocessedautomatically. Suchprogramsarecombined

to form a logical flow chain with unique predecessor and successor

relationships.

Whenaflowdefinitionisexecuted(orscheduledtobeexecuted),allofthe

relatedprogramsareprocessedinthespecifiedsequence,andthentheresults

aremadeavailableforanalysisunderDetailedInformation.

Whenyoudouble-clicktherequiredtasklisttemplate,therelevantorganizational

structure is displayed. You can now create different tasks in the task folders:

Selectthetaskorhierarchyfoldertowhichyouwanttoassigntasks.

When you assign the task to a user as the person responsible or as the person

processingthetask,youbuildtheListDisplayasfollows:

Inthelistdisplay,youusethefunctionsDisplayTasks(PersonProcessing)and

DisplayTasks(PersonResponsible)tolist therelevanttasksandtomakethem

available for processing by the assigned processor or for monitoring by the

assigned person responsible.

Taskdates: In thegraphic displayof theMonitor, youcan portraytheplanned

runtimeonthebasisoftheschedulingdates. Thisplannedruntimeisdisplayed

intheMONITORaccordingly. In this way, you can scheduledatesfor closing

operations.

If completion of the task has an essential deadline for closing operations, this

activitycanbeidentifiedasacriticalpathandthendisplayedaccordinglyinthe

application (CLOCO).

TheClosingTypeindicatorenablesyou,whenyoucreatetasklists,tofilteroutthe

tasksfromagiventemplatethatarerelevantforthedifferentclosingtypes(such

asmonth-endclosingoryear-endclosing). Forthisreason,itisimportantthatyou

assign tasks to at least one closing type.

Withtheseparationofthetasklisttemplatefromthetasklist,youcandefinethe

Thetasklistgeneratedfromthetemplateautomaticallyupdatesthetime-related

programparametersoftheselectionvariantsbyenteringcorresponding header

information in the task list.

Choose Template/TaskList→ CreateTaskList.

Fromthecurrenttasklisttemplate,thesystemcreatesatasklistofthesamename.

YouentervaluesfortheparametersKeyDate,FiscalYear,andPostingPeriodfor

thistasklist. Alltasklistscreatedarelistedundertherelevanttemplateaccording

to their key date.

Onthebasisoftheclosingtypeselectedinthetasklist,thesystemtransfersfrom

thetasklisttemplatetothetasklistonlythoseactivitiesthatarepermittedinthe

task definition for that particular closing type.

Toenablethetasklisttobeusedintheapplication,youreleaseit. Todoso,choose

the Released entry in the Status field.

In the flow definition, you can group tasks that are to be executed in the

background in a particular order. You use the workflow to control these flow

definitions. Youcanstructuresubflowsandincludetheminaflowdefinition.

You can insert user decisions for testing purposes. Use the task list to group

individual tasks. If youneedto run sequencesof jobs, createaflowdefinition

including all dependent work items.

left, expand the organizational structure until youfind your ClosingTest

subfolder. Double-click the folder. Thetwo tasks in thisfolder are listed

on the top right.

Nowselectyourfirsttask(WelcomeMail)andchooseScheduleSelected

Tasks.

The system informs you that the task has been scheduled successfully.

Shortlyafter, (you mightneedtochooseManual Update), thefollowing

messageshouldappear: ExpressdocumentCOCKPITCALLINGreceived

Choose Inbox and read your document.

GobacktotheClosingCockpit(F3, greenarrow).

Select your task list:

For this task, check the job log overview and the spool request display.

Close this window.

Shortly after (you might need to choose Manual Update), the
