Delivery Cost in MIRO

For unplanned delivery costs, you can opt it to be equally distributed to the different lines by customizing in

MM/LIV/incoming invoice/Configure How Unplanned Delivery Costs Are Posted

Ren SAP 2012-5-14 下午11:58 (回复 Mathew George)

Mathew.

I don't think it's a unplanned cost.

Example:-My PO is 20 QTY for item A

GR1 :-10  Qty

GR2:- 5 Qty

GR3:-5 Qty

In MIRO Select option1 (Goods /Service Items) I can see material cost now by three lines (one for every GR line) but in options 2 (Planned Delivery Cost) I see delivery cost for all three GRs together  and I like to see three lines for that as it coming with option 1.

Thank you.

Hi, first confirm if it planned to unplanned cost? does your PO has delviery cost captured when it was created? if yes then it is planned and as mentioned by Mathew - Standard SAP does not allow you to distribute planned del cost in MIRO (it will be always cumulative) - Check OSS Note 311496 - Default values planned delivery costs

Another option would be to allocated delivery cost manually while posting MIRO.

Yogesh/Mathew,

Thanks for the detailed reply. These are the planned cost.We have pricing conditions are defined for calculating the delivery cost and seems like we can't have distribute them as material cost.

In my client site We receive multiple GRs against single PO line item and vendor send the paper invoice with reference to those lines. For finance department it's very  hard to verify delivery cost in SAP with Vendor paper invoice as in SAP it's shows as a total cost and on paper it's by lines.

Dear SAP MMSD,

The planned delivery costs are tie to PO but not GR at the time of MIGO. Therefore what you see is correct for planned delivery costs when MIRO and you cannot see it separate by each GR.

For your requirement, you may use the bill of lading functionality. Using bills of lading, the system will not aggregate the delivery costs and it will display them separate.

Dear SAP MMSD,

Bill of lading can be entered at the time of goods receipt. You can then reference this Bill of lading when entering the invoice.

The field 'Bill of lading' in invoice line when MIRO is filled when you select planned delivery costs with reference to particular

bill of lading number.

hi,

Functionality GR Based IV is not available for planned delivery cost in standard sap system neither u nor anyone else will be able to anything about it. The only way is to edit qty in MIRO as per bill and provide user parameter in SU3 IVAMOUNTADJUST with value "X", which will automatically adjust amount of delivery cost as per qty adjustment. I have had long chat with SAP guys over this functionality and this the best i have come up to.

But in case u receive " one bill separately " for transportation charges per delivery , u can book it by selecting , bill of lading option instead of with reference to PO in left drop down. But ur question raised gives impression that vendor is billing both " material value" and " transportation charge" in same bill. If such is the case , IV with reference to bill of lading  is of no use to u.

here is brief about bill of lading , u have following prerequisites

always entering transportation bill number in MIGO ( bill of lading)

u receive transportation bill separately from material bill

Hi,

Freight Cost  can be added to inventoried or taken to separate G/L account but not added  a Certain Company Code, Vendor and Material

Setting for Freight Cost  can be added to inventoried:

If you want freight amount to be captured & added to inventory, then just check your calculation schema in M/08 & check your freight condition type and see No account key & accrual key are assigned{Keep BLANK}  there

In t.code M/06, go to details & do not select accrual flag in control data 2 TAB & keep BLANK in condition category in control data 1 segment & save.

Now do MIGO , you will  freight cost added to inventory cost.

Setting for Freight Cost  can posted to separate G/L account called Freight G/L account:

If want freight to be captured in a separateG/L account, then just check your calculation schema in M/08 & check your freight condition type and see account key & accrual key are there ( say example account key FRE and accrual key FR1)

Now go to Condition type in M/06, select freight condition type,go to details & select accrual flag in control data 2 TAB & keep B in condition category in contorl data 1 segment save.Again in OBYC , just assign FRE account key with your freight G/L account with your chart of account, valuation class & valuation modifier & save.

Now do MIGO , you will have separate G/L entry for freight and not added to inventory.

NOTE:

Active "G/L account' & " Material " TABs in the MIRO screen to post COST by selecting two check boxes of "Direct posting to G/L account=active" & "Direct Posting to Material=active" & then save, in the following path

SPRO>Logistics Invoice Verification->Activate Direct Posting to G/L Accounts and Material Account

Asif Nakhuda 2012-6-2 上午9:05 (回复 Bijay Kumar Barik)

Dear Mr. Barik

I have gone through your reply related to posting Freight Cost to separate GL. We have a similar requirement to post delivery cost to a separate GL, the difference being that the material is of Pipeline nature and we are maintaining Pricing Schema conditions in the Purchase Info Records. The details of our scenario are as under;

We have configured a pricing procedure ZLPLM for pipeline material having a gross price and a delivery cost. The requirement is to post the delivery cost to a separate GL. For this an Account Key ZC1 has also been created. PIR has been created for the requisite conditions in schema. On processing of material document against Process Order for pipeline material (movement type 261P), it has been observed that the consumption posting (total cost of both the conditions) is hitting the GL defined in GBB/VBR for the material (w.r.t. valuation class) instead of partial amount (delivery cost) hitting the GL defined in the Account Key against the condition in Pricing Schema.

Appreciate your advice for resolving this discrepancy.

Hello Gurus,

We have inter-company stock transfers with the issue that the moving average unit cost in the material master of the receiving company code includes the mark-up, and does not reflect the TRUE moving average cost?

Scenario:

All the inter-company STO's have a Markup of 5%. (Markup condition type defined: ZIMU)

The material is maintained in two plants says Plant A and Plant B. We know that the difference in material cost is PPV. The client want us to show true PPV

Company A sells to Company B

MAUC in Company A = $100

MAUC in the material master of Company B = $110

PPV = $100 ($110-$100)

All our intercompany STO's have a 5% markup

Currently, during Goods Receipt the entry is posted:

Inventory a/c Dr.

To GR/ IR a/c Cr.

To PPV a/c Cr. (net of ppv and markup)

The client wants to see the True PPV (Split of Markup and PPV) and the desired entry is:

Inventory a/c Dr.

To GR/ IR a/c Cr.

To PPV a/c Cr.

To Markup a/c Cr.

Tried couple of config. settings but could not get the desired results:

2. Defined Pricing Condition for Markup: ZIMU(Pls note: In control data I haven't assigned the condition category and haven't checked accruals in Control data)

In the purchase order item condition tab click the drop down list for conditions and choose the freight condition that suit your need and add value. Manual conditions have to be called for the first time. subsequently it will default for the material vendor combination.

if it is an automatic condition maintain the condition table in MEK1 for the condition. then the value will come in the PO automatically

Hi,

what do you mean by  adding it in the Purchase Order? are you talking about again Freight Cost!

If Freight Cost is there in PO in term of condition type(for Freight), then it will reflect Freight G/L account or  inventory account as per your setting or requirement.(read my above answer

Purchase Order is  a committed document, once created & released, then reached vendor and now how you can add Freight Cost ,!

If Freight Cost not there in PO & need to accounted, then in this case , you can capture directly in MIRO for a separate Freight G/L account by activating:

Active "G/L account' & " Material " TAB in the MIRO screen to post COST by selecting check boxes of "Direct posting to G/L account=active" & then save, in the following path

SPRO>Logistics Invoice Verification->Activate Direct Posting to G/L Accounts and Material Account

Hi @Biju K, I appreciate the answer but it's already configured in the system. And I think we are not on the same page here. They have already the option to add manually the Freight Cost into MIRO by GL Account or to Purchase Order by Condition Type FRA1. And it is working fine only that the users wants to have it reflected automatically in their Purchase Orders.

So I need to know how is it configured to have this Freight Cost automatically be reflected into the Purchase Order Line Item Conditions Tab. If there is a way where the condition table should be maintained in standard for a certain Key Fields (like Purch Org, Material, etc) then that's the best way or any standard suggestions to make this possible is also okay.

Ajit Kumar 2011-4-27 上午10:31 (回复 Cecilio Cruz II)

if you  want the freight cost to come automatically, you have to find out the unique conditions with defines the cost. for e.g if the freight varies based on material, plant, etc. once you know that you can find which table suits your need . you can check the available tables in m/04 . if none of the tables suit your requirement you can create table  in m/03.

if you are using a predefined table, check in access sequences where this table is defined. otherwise create an access sequence or enter the created table in an existing access sequence. the lower access number will be accessed first. if you are using 2 tables this will be important. you can do this thro SPRO> purchasing >conditions

once the access is defined enter this in the condition using m/06 and make the condition automatic entry. then remove the condition from pricing schema and reenter it. at the same level.

maintain the table using MEK1 for the condition.

when you create the PO the condition value

PPV during PO

Samuel Udofia 2013-10-2 上午8:31 (回复 Prasad Swain)

Prasad, don't change your pricing control to V. This will only make the matter worse. You are wanting to valuate your material at standard, so leave it as such. The decision you need to make at this point is whether you want to capitalize or revenue the freight. That is, do you want to absorb it on your inventory or not. Lets assume you don't, then add freight payment to the vendor invoice and offset it with a freight sales account. PPV will therefore not take the balance. If you don't do this, then the balance goes to PPV as revenue. Then your option will be to reclass the PPV to some payable clearing account and remit the balance to the vendor. If the vendor has charged you freight already, then it should be part of your invoice. Offset the overage with a clearing account during invoicing.

Revert back if any of this does not make sense.

Re: PPV during PO

Samuel Udofia 2013-10-5 上午12:43 (回复 Prasad Swain)

Prasad, a good way to give you a concrete example would be to provide me with your specific scenario so I don't conjecture on what ifs: You have an invoice with a freight on it, or not? If not, do you want to include the freight payments in subsequent remittance to the vendor? You mentioned that you added the freight to the PO, that sounds to me like this was done without account assignment or pricing condition for freight indicating whether you are going to expense it or capitalize it. If that is the case, give me the specific info. This would be much easier to actually show you, but we can keep trying to share info here.

Just to capture your initial issue: You buy a product from a 3rd party that you then sell to a customer. There are extra expedited freight charges after the fact. You then charge the customer for this extra freight, but now you want to also pay the vendor for the extra freight which I assumed you were charged.

The product vendor is the same as the one that charged you for the expedited freight, right? Or you paid a different vendor for freighting?

Please on your next response, outline every details as it would help me quickly give you steps to take assuming you don't need any extra configuration.

Can you explain more detail how do we offset the freight against a freight offset account. what configuration required? what entry needed to be posted.

The vendor is the same most of the time for freight but may be different sometie as well.

Re: PPV during PO

Samuel Udofia 2013-10-31 上午2:00 (回复 Prasad Swain)

Ok, so at the time of creating the PO, you already know that it will include expedited freight. It also does not sound like you already have freight conditions, account determination, etc configured. This can be complex and require multiple departments including the tax, MM and accounting to work together.

If you are not sure if freight conditions are already set for your organization, in the item section of your PO, select the conditions tab.

2. Drop down one of the condition types and look for text with "freight" keywords. There may be several. If you don't know which one is appropriate, you may need to test with different ones and see which one results in expenses or capital. I couldn't tell you without seeing your system, so you will need to keep providing us information that you see. Some standard ones available are FRA1, FRB1, FRC1, etc. you probably need FRB1 since you know the exact fright amount charged.

3. A good way to see how SAP will calculate the final price for your PO is to click on the "Analysis" button on the same screen after entering a line and value for your freight condition.

4. you can check your account determination for freights under customizing: OBYC, Transaction keys FRE, FR1, FR2, etc. Which ones you configure depends on your requirements.

Setting up freight conditions and links can be complex. You need help of experienced consultants familiar with these areas to help you. Try tutorials from the web if you want to go at it alone.

Consider this: If you want to expense all the freight, then consider not entering anything at time of PO. But allow the vendor to charge you for it. Then during time of invoice (MIRO), Enter the freight value in the GL account tab. It will not go to PPV. Not the best solution, but it should work.

Resources: Here are a few thread that might help you. I can help answer questions on things you are not clear when reading these threads:

Setting up freight conditions: http://scn.sap.com/thread/1941034

http://scn.sap.com/thread/1940383

Finally, try googling "Feight conditions for PO in SAP". You should find few tips.

Planned delivery cost (PO condition value) does not auto allocated in MIRO for asset

Chin Wah Chai

2013-5-28 上午4:13

Dear experts,

I have a question on the Logistics invoice verification.  During the MIRO process, the condition value maintained in PO are not being copied/auto populated/allocated in the MIRO.

Have been searching in the forum without any concrete solution obtained.  Have also been searching for SAP notes but doesn’t seems to solve my problems--sapnote_0001754797, sapnote_0001565905.

Here is the scenario:

We cut a “asset PO" (acct asign "A") whereby it is a “GR non-valued”; without multiple account assignment; the GR bsd IV Indicator is marked in PO

In the PO, we maintained some conditions such as freight cost for the same vendor

We perform goods receipt via MIGO.  Of course, there is no financial posting for this GR since it is GR non-valued.

There is no issue of duty and taxes in the PO.

But when comes to MIRO process for planned delivery cost, the system does not auto populate the PO condition value.  Why?  (However, the asset/material value maintained in the PO get auto populated in PO).

Note: we tried create a different "non-asset" PO using the same PO condition, e.g. freight cost, and it is working perfectly fine.  In other words, during MIRO process, the planned delivery cost are automatically populated in the MIRO screen.

Appreciate if you can enlighten me on this issue.  Otherwise it is not logical to enter the value manually---Imagine if I have many POs having 20-30 items per PO and various freight conditions.  (we don't do PO header conditions).

Is this a standard SAP functionality that condition value allocation in MIRO is based on "GR-valued PO" as explained in various experts in this forum? Any SAP notes can perfectly explain such system behaviour?

Many thanks in advance.

You need to check all your planned delivery cost with your planned delivery cost condition type.

Use t.code: M/06 and your check planned delivery cost condition type must have delivery cost(B)in condition category in control data 1 segment and Quantity scale(C) in Scale basis of Scales segment.

Also cross check any validity period set for planned delivery cost condition type in t.code:MEK3 where you have value in purchase order with purchase order creation date but no value during invoicing on  invoice creation date!

But when I create invoice for freight cost, it show only 1 line in MIRO and the amount & quantity already in total.

Why is this happen ? Because I want it show with multiple line same with the goods as well. Because it is very hard to us to check and total one by one. Is there any solution for this ?

Thanks

Indra

Hi,

You have only one line item and multiple GR, right...I was thinking that you have multiple line items in PO.

The delivery cost condition type will come in MIRO per item of PO. I mean for one PO item, and one delivery cost condition type, there will be only one entry in MIRO, if you are referencing PO in MIRO.

I can suggest the following option.

Please make the delivery note / bill of lading  (in MIGO Header-General Tab) as mandatory field in MIGO and train the users to fill the same. Now, in MIRO, use Delivery note or bill of lading as reference, instead of PO.  You can go to multiple selection and enter the delivery note numbers and adopt.

Once you adopt, there will be multiple line items in MIRO based on the number of delivery note/bill of lading.

It happens because you are using freight value in header condition.

Why should it shows per item because you have maintained it in header level.

For your requirement please go for item level condition for freight value.

Create a new freight condition at header defined for "Group condition" which will add accordingly into line item based on quantity..so you can get the freight in IR on line item wise

Hi,

If you want freight to be added at header level in PO and the same to be distributed at item level based on quantity or value, you have to use the concept of group condition as mentioned byMallinath Bheemrao Patil

To use the group condition concept, mark the condition type as header condition in M/06 and activate the group condition flag and the routine as shown below.

While creating PO, enter the value for FRB1 condition at header level. If you check the item condition, you could see the FRB1 condition at item level too , (even though its marked as header level condition only in customizing) which is non editable in item level. If you add one more item in PO, the total freight value given at header level will be automatically distributed at item level and the FRB1 condition will appear in all item conditions with splitted value.

Now, while doing MIRO foe planned delivery cost, you would see different line items for FRB1.

You may test the same and revert back in case of any issues.

Hi,

Is it distributed among the line items? If so, it will come in MIRO as separate line items.

If not, please share the screenshot of PO as well as miro.
